Purpose of the Assignment

The purpose of the assignment is to assist the Governance Team with basic administrative and project-specific support, as follows:

  • Office Administration and Coordination functions
  • This includes: maintaining the Chief Governance calendar, scheduling meetings; maintaining and updating the Team’s calendar including monitoring and maintenance of staff attendance records; proactively developing travel itineraries, initiate Travel Authorizations (TA) actions in VISION for team members’ duty travel and other entitlement travel; maintaining the Unit’s filing, document/information retrieval and reference systems; coordinating and assisting with all aspects of the office space move, as it becomes relevant.

  • Correspondence and Communication
  • This includes: identifying and extracting information from various sources and preparing briefing notes and/or summaries for inclusion in correspondence and reports; drafting moderately complex correspondence; formatting outgoing letters and memos; preparing powerpoint presentations; making informal translations of correspondence into other official languages as required; maintain and update the section’s/unit’s internal website.

  • Meeting Organisation
  • This will be a strong focus of the consultancy. On 1-2 March 2018 the Governance Team is organizing the annual UNICEF National Committee Board Organization in Geneva. This focus area includes both logistical support as well as coordination support, e.g. working on the meeting agenda, on invitations, the production and distribution of documentation including the Information Note, liaising with speakers including UNICEF representatives, production of name plates, receiving participants, booking the venue for the dinner with all participants with a vendor, acting as focal point for delegates’ practical needs during meeting; making travel arrangements in liaison with travel section and verify travelers’ VISAs validity and related clearances are obtained, as relevant. Importantly, establishing an appealing website and upload relevant documents; and undertaking the necessary follow-up after the meeting.

  • Specialized Project Support Functions
  • This includes supporting the Governance Unit in its newly to be developed Board and Chairs exchange programme and conceptualization of technical webinars for NatCom Boards and executive staff; maintaining the Governance Knowledge Centre on the Intranet; researching governance best practices for the Governance Knowledge Centre; and maintaining the Unit’s databases;


    The Administrative Consultant will report to the Chief of Governance in the Country Relations Section in PFP.

    Key skills, technical background, and experience required

    University degree in any of the following: Business Administration, Economics, Marketing, Fundraising, Public Administration, International Relations, Finance.

    Proficiency with standard MS Office applications (Excel, Power Point, Word etc) Ability to use UNICEF SAP/ERP systems (VISION).

    Minimum of 2 years of relevant work experience which should include performing administrative functions.

    Experience with UN and/or UNICEF regulations and rules, including administrative procedure will be an asset.

    Proficiency in English; French and other National Committee country languages will be assets

    Excellent communication, presentation and writing skills are required.

    Able to work effectively in a multi-cultural environment.

    Quickly builds rapport with individuals and groups; maintains an effective network of individuals across organizational departments.
